The Central Union of Municipalities of Greece will announce a public tender for conference, seminar and meeting organization services.
Specifically, the subject of the contract is the comprehensive provision of services for the organization of the annual regular conference of KEDE, thematic conferences, events, seminars, off-site meetings of its collective bodies and General Assemblies.
In detail, the subject of this contract includes the provision, transportation, installation, connection, disconnection and uninstallation of all necessary audiovisual equipment, IT equipment and software, the necessary subsystems, cables, electronic equipment for the full audiovisual coverage of KEDE events, supplementary material (lighting, connection cables, etc.) for the proper implementation of the event (space configuration, graphics, printing, conference material).
The contractor’s obligations include the production and provision to KEDE of all the audiovisual content of the events in digital format, which the contractor delivers after the end of the event.
The subject of the contract includes the parallel presentation of the proceedings of the conferences, workshops and other events, which are organized hybridly, in real time via the internet (real time live streaming) through different social media platforms or selected websites, and therefore the provision of services and provision of infrastructure for the implementation of this type of events. It is noted that the hybrid process is planned to be interactive for the participation of the conference participants either via a platform or with their presence at the venue.
KEDE events are held throughout Greece, on a case-by-case basis, therefore the contractor within the framework of the contract is obliged to provide its services at the local points where the events are held.
The production of audiovisual content must be high-resolution, combining videos, photos and graphics, for each event separately, which will be displayed during the event.
The planned events related to the Contract to be announced are the organization of up to 2 annual regular conferences with thematic sections of KEDE, the organization of up to 6 two-day thematic meetings, the organization of up to 6 workshops, the coverage of up to 6 meetings of the Board of Directors away from home and the organization of up to 6 teleconferences that will be held away from home of KEDE and can be attended remotely by up to 550 people at most.
The duration of the Contract under award for the provision of services is set from its signing up to 18 months or until the budget is exhausted from the events that have been implemented during the validity of the contract. In case the physical scope of the contract is not exhausted, the remaining amount will be carried over to the new financial year as a continuing contract.
The total indicative cost has been calculated at 272,800 euros including VAT.
